Hiring a paperwork agent (gestor) or doing it yourself
Helps you decide whether to pay a gestor or handle Spanish paperwork yourself with translation help. It explains what a gestor can and cannot do, which tasks are safe to do alone, and how to check a gestor is registered.
Terms used
- Gestor — A gestor is a regulated paperwork agent who files administrative procedures for you for a fee. A gestor is not a lawyer.
- Abogado — An abogado is a lawyer, needed for court cases, appeals and complex legal advice.
- Cita previa — A cita previa is an appointment you must book in advance at many public offices.
- NIE — The NIE is the identification number Spain gives to foreigners for tax and legal matters.
- Empadronamiento — Empadronamiento is your registration as a resident at your town hall.
- Cl@ve — Cl@ve is the government login system for using public services online.
- Autónomo — An autónomo is a self-employed person registered to work for themselves.
- Tasas — Tasas are government fees paid for an administrative procedure, separate from a gestor's own fee.
Key rules
- Not a lawyer: A gestor cannot take your case to court, so refusals and appeals go to an abogado.
- Do it yourself: Booking appointments, town hall registration and standard forms are safe to do alone with translation help.
- Check registration: Ask for the colegiado number and confirm it with the provincial college.
- Quotes: Get written quotes and ask whether government fees, translations, appointments and travel are included.
What a gestor is, and what they are not
A gestor handles many administrative filings for you in return for a fee. Typical jobs are tax filings, social security registration, company paperwork, vehicle transfers and immigration applications.
A gestor is not a lawyer. They cannot represent you in court or give binding legal advice in a dispute. For that you need an abogado.
Tasks you can usually do yourself
Simple, standard tasks suit doing it yourself with a translation app or a bilingual friend:
- Booking a cita previa, including an appointment for your NIE.
- Registering at your town hall (empadronamiento).
- Filling in standard forms.
- Registering on Cl@ve.
- Sending routine documents online.
When a gestor is worth paying for
Pay for help when a mistake is costly, the file is complex or the deadline is short. Examples:
- Residency applications where refusal is a risk, such as non-lucrative, digital nomad or arraigo.
- Spanish tax returns with foreign income or a property sale.
- Setting up as autónomo or starting a company.
- Vehicle and property transfers, and inheritances.
Gestores are most useful for tax filings, social security registration and company paperwork. For routine paperwork they are generally cheaper than a lawyer.
When you need an abogado instead
Go to an abogado if your residency is refused, if you want to appeal, or if you need complex legal advice. An abogado is registered with the bar association (colegio de abogados), not with the gestores' college.
What it costs
Prices depend on the task, the region and the office. A simple job, such as an NIE application or a certificate, usually costs less than a residency, renewal or nationality file. Many gestores quote a fixed fee. Government fees (tasas) are normally paid separately, and some offices add charges for translations, appointments and travel. Get written quotes for the same task and compare what each one includes.
How to check a gestor is real
A real gestor administrativo belongs to a provincial Colegio Oficial de Gestores Administrativos. Ask for their colegiado number and check it with that provincial college. Many colleges have a member directory, and others confirm by phone or email.
Someone who calls themselves an asesor or consultant may legally offer paperwork help. They cannot use the title gestor administrativo, so do not assume they are registered.
The decision, checklist, warnings and questions below cover the same ground in short form.
Choosing between options
Should you do this paperwork yourself or pay for help?
-
Do it yourself with translation help: The task is simple and standard: booking a cita previa, an NIE appointment, empadronamiento (town hall registration), standard forms, Cl@ve or routine documents online.
-
Hire a gestor: Mistakes are costly or the file is complex: tax filings, social security registration, company or autónomo paperwork, vehicle and property transfers, residency applications, or anything with a short deadline.
-
Hire an abogado: You face a refusal, an appeal, a dispute or complex legal advice, because a gestor cannot represent you in court.
Do it yourself when the task is simple and a mistake is cheap to fix; pay a gestor when a mistake is costly or the deadline is short; use an abogado for refusals and appeals.
Checklist
-
Confirm the person is a gestor administrativo, a regulated paperwork agent who is not a lawyer, and not only a consultant.
-
Ask for the colegiado number, the member number given by the provincial college of gestores.
-
Get written quotes from several gestores for the same task.
-
Ask each gestor whether government fees (tasas), translations, appointments and travel are included in the quote.
-
Ask for an abogado instead if your case involves a refusal, a court appeal or complex legal advice.
What to watch out for
-
A gestor cannot take your case to court: A gestor cannot represent you in court or give binding legal advice in litigation. A refusal of your residency or an appeal against it needs an abogado. Go to an abogado as soon as you get a refusal, especially as deadlines are short.
-
Doing a costly or complex file alone: Residency applications with refusal risk, Spanish tax returns with foreign income or property sales, setting up as autónomo or a company, and inheritances are easy to get wrong. Pay a gestor or lawyer for these, and keep doing simple tasks like cita previa, empadronamiento and Cl@ve yourself with translation help.
Frequently asked questions
Can a gestor go to court for me if my residency is refused?
No, a gestor cannot represent you in court, so a refused residency application that you want to appeal needs an abogado (lawyer). A gestor can still help with the administrative paperwork before that point.
Are government fees included in a gestor's price?
No, government fees (tasas) are usually paid separately from the gestor's own fee. Ask for a written quote that also says whether translations, appointments and travel are extra.
Can someone who calls themselves a consultant do my paperwork?
Yes, an asesor or consultant can legally help with paperwork, but they cannot call themselves a gestor administrativo. Only a registered gestor has a colegiado number you can check.
Which college do I contact to check a gestor's number?
Contact the provincial Colegio Oficial de Gestores Administrativos where the gestor works, for example Madrid, Barcelona or Valencia. Most have a member directory or will confirm membership by phone or email.
