Choosing your move dateArticle 7 of 9 · 7 min read
What if your move date slips?
How to protect your move when a visa, a home or a shipment runs late. For non-EU newcomers who need to know how a pending decision affects their window, how much buffer to add, and what to commit to first.
Terms used
- TIE — The TIE is the foreigner identity card that proves your residence in Spain.
- NIE — The NIE is the foreigner identification number used for tax, work and housing paperwork in Spain.
- Fianza — The fianza is one month's rent, held as security for the lease.
- Reserva — A reserva, also called a señal, is a holding deposit that reserves a rental before you sign the lease.
Key rules
- TIE deadline: Apply for the TIE within one month of entering Spain.
- Visa dates: A national visa cannot be used after its window ends, and a new application is needed.
- Shipping: Ship household goods only after your residency is secured.
- Deposits: Avoid non-refundable payments until your visa and dates are confirmed.
A pending decision moves your whole window
Until your visa or residence decision arrives, treat your move date as an estimate. Book only what you can cancel, and fix the dates that cannot move (visa entry, residence card) before the ones that can (lease, shipping).
Wait times depend on the route:
- National visas, such as study or non-lucrative: consulates usually decide in about 1 to 3 months. The rules allow up to 3 months.
- Digital nomad and highly qualified professional routes: the decision is meant to take 20 working days.
- Family reunification: about 45 days to 3 months.
- Settlement routes (arraigo) and renewals: up to 3 months. The card appointment comes after approval.
Real waits at consulates and immigration offices are often longer than these limits. Check the current wait with your consulate.
How much buffer to add
Add 4-8 weeks beyond your earliest expected date for visa and residence steps. Add 2-3 months for lease and school plans. Adjust both to your route and consulate. The checklist below has the full list.
Appointments are the usual cause of delay. Consulate visa appointments in some countries can be booked out for weeks or months. Appointments for fingerprints, the TIE and the NIE are scarce in busy provinces such as Barcelona, Madrid, Alicante, Málaga and the Balearics. Ask your consulate and the provincial immigration office how far ahead they are booked.
If your visa window passes
A national visa can only be used inside its dates. If you do not enter in time, it lapses. You then need a new application with a new fee and new documents. Extensions are not normally granted. If something exceptional blocks your travel, contact the issuing consulate, but expect little flexibility.
Certificates can expire too. Criminal record and medical certificates, and apostilled documents, are commonly valid for 3 months. Get new ones if they will lapse before you enter.
Once you arrive
You must apply for the TIE residence card within one month of entering Spain. Your visa normally covers your stay for that period. A late application can bring a fine, so book the police appointment early.
Housing, flights and shipping
- Holding deposits: a reserva or señal is usually lost if you pull out. If the landlord pulls out, they may owe it back double, depending on the contract. Read the wording before you pay, and get in writing what happens if your dates change.
- Lease: a signed lease needs a fianza of one month's rent. The deposit rules are set out in the housing pages of this guide. Start with a 1-3 month short-term rental before a long lease.
- Flights: cheap fares are often non-refundable, though you can sometimes change them for a fee. Flexible fares let you move the date. Travel insurance may cover some cancellations.
- Movers: terms vary, and cancellation fees rise close to the date.
- Shipping: wait until your residency is secured. Sea freight takes roughly 1-2 weeks from northern Europe, 3-4 weeks from the US East Coast, and 5-8 weeks from the US West Coast, Asia or Australia. Road or air takes about 3-7 days. Shared loads are slower, often 2-6 weeks. Customs usually adds 2-5 working days, and more if paperwork is incomplete. Non-EU shipments need an inventory list and proof of residence or change of residence to import personal effects duty-free. Moves within the EU have no customs formalities.
Keep a fallback
Keep your home or lease in your origin country until the Spanish residence card is in your hand. Set aside money to pay for two homes at once if the move slips.

What to watch out for
-
Your visa can lapse before you arrive: A Spanish national visa cannot be used after its entry window ends, and extensions are not normally granted. Plan your arrival well inside the visa dates. If you miss them, expect a new application with a new fee and documents.
-
Appointments can be booked out for weeks: Consulate visa appointments and Spanish appointments for the TIE card and NIE can be unavailable for weeks, especially in Barcelona, Madrid, Alicante, Málaga and the Balearics. Ask the consulate and the provincial office about current availability, and add the buffer to your plan.
-
A holding deposit can be lost: If you withdraw from a rental reserva, you usually lose the holding deposit, so a moved date can cost you money.
-
A late TIE application can bring a fine: You must apply for the TIE residence card within one month of entering Spain, and a late application may bring a fine. Book the police appointment as soon as you arrive.
-
Waits can run longer than the official limits: Actual waits at consulates and immigration offices are often longer than the official limits, and silence means refusal for most first applications. Do not fix flights, lease or shipping dates until your visa or permit decision is in hand.
Frequently asked questions
What happens if my visa window passes before I arrive in Spain?
Your visa lapses and you need a new application, with a new fee and documents, because extensions are not normally granted. Papers such as criminal record and medical certificates may also expire and need renewing. If travel is blocked by exceptional circumstances, contact the consulate that issued the visa.
How long should I allow as a buffer for visa and residence steps?
Allow about 4-8 weeks beyond your earliest expected date for visa and residence steps. For lease and school plans, allow 2-3 months. Adjust the buffer to your route and consulate.
Should I ship my household goods before my residency is secured?
No, wait until your residency is secured, because shipping early ties you to a date you may not meet. Once you ship, sea freight from the US West Coast, Asia or Australia takes about 5-8 weeks, and customs clearance adds 2-5 working days.
Do I lose my rental holding deposit if my move date changes?
Usually yes if you are the one who withdraws, while a landlord who withdraws may owe it back double, depending on the terms. Flights follow fare rules, and movers charge more the closer you cancel. Get any change in dates agreed in writing.
