Cancelling and rebooking a Spanish appointment without losing your place
How to cancel or change a Spanish appointment, what happens to your place in the queue, and what a missed appointment costs you. For anyone who has booked, or is about to book, an official appointment and may not make it.
Key rules
- Confirmation code: Keep your confirmation code, because you usually need it to cancel.
- Queue place: Rebooking gives no priority: you get the next free slot.
- Missed slot: A missed appointment is lost and you must book again.
- Deadlines: Having an appointment does not stop a legal deadline; only filing does.
Cancel through the same portal you booked with
Use the same website you used to book. Look for the cancel or change option. On the national police and immigration system it is called "Cancelar/Modificar cita". You enter your confirmation code, your document number and your name.
Tax, social security, town hall and regional systems have similar options. Often the confirmation email or SMS has a cancel link. Some offices also accept cancellation by phone. Each portal has its own steps, so follow the screens you see.
Keep your confirmation code. You usually need it to cancel.
Changing means cancelling and booking again
In most systems you cannot move an appointment. You cancel it and book a new one. The checklist below gives the order.
You do not keep your place in the queue
Cancelling and rebooking gives you no priority, and it does not put you at the back either. Slots are not handed out in order of first booking. Your new appointment simply takes the next free slot.
Your legal deadline keeps running
Holding an appointment does not stop a deadline. Only filing your application meets it. If your deadline is close, for example the 90 days after arrival or a renewal window, rebooking can cost you the time. The deadline rule is explained on another page. In short, file in writing through a registry or electronically instead of waiting for a new slot.
What happens if you miss an appointment
- The slot is lost. You have to book a new one.
- Fines for not turning up. Most systems do not charge one. In some systems, repeated no-shows can block you from booking for a while.
- Late filing. If the missed appointment made you file after your deadline, residence procedures can bring sanctions, and in serious cases fines for irregular stay.
- Renewals. You can still file within 90 days after your permit expires, but a sanction is possible.
- Police summons. If you do not attend an interview you were summoned to, your file can be closed. Cancel or contact the office before the date.
If you know you cannot go, cancel early. It frees the slot for someone else and keeps your record clean.
Timeline and deadlines
-
Cancel the appointment you cannot attend, using your confirmation code: as soon as you know you cannot go
-
Book a new appointment, which takes the next free slot: right after cancelling
-
File your application in writing if your legal deadline is close, rather than waiting for the new slot: before the deadline ends
-
File a renewal late, accepting a possible sanction: within 90 days after expiry
-
Book a new slot, since the missed one is lost: after a missed appointment
Checklist
-
Keep the confirmation code from your booking page, email or SMS.
-
Open the same portal you used to book and choose the cancel or change option.
-
Book a new appointment, because changing usually means cancelling and booking again.

What to watch out for
-
A missed appointment is lost: If you miss your appointment, the slot is lost and you must book a new one. Repeated no-shows can lead to a temporary block on booking in some systems. Cancel in advance if you cannot attend, then book a new slot.
-
Your legal deadline keeps running: Holding or missing an appointment does not stop a legal deadline. Rebooking can cost you time, and filing late can lead to sanctions, including fines for irregular stay in serious cases.
-
An unattended summons can close your file: If you do not attend a summons such as a police interview, the file can be archived. Contact the office straight away and ask how to continue.
