The order to do things in for a residence application

The order to follow for a residence application made at a Spanish consulate, so your documents stay valid from collection to filing. It is for anyone applying for a residence visa from abroad.

Terms used

  • apostille — An apostille is an international stamp certifying that a foreign-issued document is genuine, so Spain accepts it.
  • traductor jurado — A traductor jurado is a translator officially authorised to produce translations that Spanish offices accept for official documents.

Key rules

  • Order: Apostille a document first, then have it translated, never the other way round.
  • Appointment: Book your consulate appointment first, because it sets the date your documents must be valid.
  • Insurance: Contract your private health cover before filing, where the route requires it.
  • Expiring documents: Certificates and bank statements go stale, so get them last, close to filing.

1. Choose your route and your consulate

Pick the route that fits you (non-lucrative, digital nomad, work, family and so on) and check you are eligible. Then find the consulate that covers the place where you legally live. That consulate decides where you file.

2. Book the appointment early

Book as soon as slots appear, ideally 2 to 3 months before you plan to file.

3. Collect your documents in the right order

Start with the documents that take longest or expire soonest. Count backwards from your appointment date.

  • Dated papers: the criminal record check and medical certificate must be issued no more than 3 months before you file, and bank statements no more than 30 days before, counted from the issue date to your filing day, so allow for apostille and translation time (how old each document can be).
  • Private health insurance: if your route needs it, contract it before you file (which routes require it).
  • Your papers: each paper and its age limit are in how a Spanish residence application file is built; self-employed applicants file extra documents (entrepreneurs and self-employed workers).

4. Apostille first, then translate

Get the apostille in the country that issued the document. Only then have it translated into Spanish by a sworn translator (traductor jurado). A few consulates also accept sworn translators in the country where you file. Documents from a country outside the Hague Convention need full legalisation through the Spanish consulate instead of an apostille, then the sworn translation.

Translating before the apostille is the mistake to avoid, because you would pay for the translation twice.

5. Pay the fee

Pay the consular visa fee of 80 euros with the Modelo 790 form.

6. File and answer requests

File at your appointment, or online if your route (such as digital nomad) allows it. The consulate decides within 3 months of a complete filing (how long decisions take). If it asks for corrections, answer quickly. Then collect your visa and travel to Spain (approval and entry).

7. After you arrive

Register your address at the town hall first (how to register), then apply for your residence card within one month of entering Spain (the deadline, booking).

Plan your application timeline backwards from your move date

How to work backwards from your move date

Write each date down, starting from the day you want to be in Spain and counting back.

  1. Move date. The day you want to arrive, plus a few spare days for flight changes.
  2. Entry window. Your move date must fall inside the visa's 90 days (the dates are printed on the sticker), so a decision that arrives early can pull your move date earlier (entry window).
  3. Decision. Count back the 3-month ceiling (how long decisions take); each request for missing papers pushes the date back.
  4. Buffer. Leave 4 to 8 weeks between the expected decision and your move.
  5. Latest filing date. Your move date, minus the buffer, minus 3 months. File on or before it; earlier is safer.
  6. Document dates. Order each dated certificate so it is issued no more than 3 months before that filing date (how old each document can be).

A worked example

You want to arrive on 1 March and plan an 8-week buffer. The expected decision is then on 4 January and the latest filing day is 4 October. Order the criminal record certificate no earlier than 4 July. If you file earlier, say on 1 September, the earliest order date moves to 1 June.

Your dates from the filing day

If your answer to “When will you file your visa application?” is 15 Jan 2027, your steps fall on these dates:

Step When Note
Get your criminal record certificate, issued no more than 3 months before filing 15 Oct 2026 to 15 Jan 2027 Deadline
File your complete application at the consulate 15 Jan 2027 Hard to undo
Expect the consulate's decision; silence after this counts as refusal 15 Apr 2027 Deadline

Your entry and card dates start from the approval date (approval and entry).
